What this policy covers

This draft explains how we handle personal information when you use the hosted BookTrakdB service, public website and support channels. The macOS desktop application stores its local SQLite catalogue on your device; this policy applies where it interacts with BookTrakdB online services.

Information we handle

We may handle account identity and email information; your libraries and book-catalogue records; user-created options, notes and settings; cover and narrator images you upload; spreadsheet import and export job information; messages you send through Contact Us; and technical information needed to operate and protect the service, such as session and security information.

Why we use it

We use this information to provide private libraries, authenticate accounts, process imports and exports, store uploaded images, respond to support requests, maintain security and reliability, and meet legal obligations. We do not use catalogue data to make your library public, sell personal information, or provide advertising or affiliate promotions.

Service providers and overseas processing

We use service providers to operate BookTrakdB: Neon for authentication and hosted PostgreSQL data, Cloudflare R2 for private object storage, Railway for application hosting, and Resend for transactional and support email. These providers may process or store information outside Australia. We take reasonable steps to use providers and safeguards appropriate to the service, but this draft will be reviewed for the final cross-border disclosure wording.

Cookies and browser storage

The hosted service uses necessary authentication/session cookies so a signed-in account works securely. It also uses browser local storage for functional preferences, selected-library state, dismissed onboarding messages, and recovery references for import and export jobs. BookTrakdB does not currently use advertising, analytics or other optional tracking cookies. You can clear cookies and site storage through your browser, but doing so may sign you out or remove saved preferences and recovery references.

Retention and deletion

We keep information for as long as reasonably needed to operate your account and meet legal obligations. A signed-in hosted user can request deletion of their BookTrakdB account data through the application. This is intended to remove hosted catalogue data and associated private objects. Deleting BookTrakdB application data is separate from deleting a Neon Auth identity. Completed hosted Excel export files are retained privately for up to 24 hours before scheduled cleanup. We do not state a backup-retention or deletion-completion timeframe in this draft.

Security

We use access controls and private storage arrangements designed to protect hosted libraries. No online service can guarantee absolute security; please keep your account credentials and devices secure.
